Listed below is information explaining the procedures for students that are absent from school.  Absences are classified as excused or unexcused. An explanation of the types of absences is listed in the Prince William County Public Schools Code of Behavior.

When a student is absent from school:

Notes from parents/guardians explaining reasons for absences are required for every absence. Excuse notes must be submitted to the Attendance Office within two (2) days of the absence. The note must contain the full name of the student, the reason for the absence, date(s) of absence, parent/guardian’s signature, and phone number. Once the note is received the unverified absence will be changed accordingly. Parents/guardians do not need to call the attendance office for absence.

When a student arrives late to school:

Parents/guardians do not need to call the attendance office for a student arriving late to school. A note as listed above must accompany the student for any excused tardy. When a note is presented by the student, and signed by the parent, the parent does not need to accompany the student into the school. The parent must accompany the student if there is no written note received for the tardy to be excused.

When a student needs to leave school early:

A written note signed by the parent/guardian must be presented to the attendance office before 7:20 a.m. The note must contain the following information: the full name of the student, the date and time of the dismissal, the reason for the dismissal, and a parent/guardian’s signature and phone number. Early dismissal requests must be in written form. A confirmation call may be made to the parent or guardian for verification. Students who become ill during the school day must report to the nurse’s office. The nurse will contact the parent/guardian to determine if the student should go home.  Under no circumstances may any student leave school grounds early without proper authorization from an administrator, the attendance secretary, or the school nurse  If a student does leave school grounds without permission, disciplinary action will be taken by the administrator.

When a student needs to ride a different bus:

When a student needs to ride a different bus, a written note must be given to the attendance office before school. The note must include the student’s name the bus number they will be riding and the name of the student they are riding with, along with a parent/guardian signature.

Pre-arranged Absences:

Preapproved absences are discouraged and will only be granted on a case-by-case basis by the principal or his/her designee. We encourage family trips to be scheduled during school holidays and over summer break. Absences for family trips will not be excused unless accompanied by extraordinary circumstances. A determination of whether extraordinary circumstances exist lies in the discretion of the principal, in collaboration with the Office of Student Services. Preapproved absences which become excessive in length may result in the absences being marked unexcused and a referral made to the attendance officer for compliance with the compulsory education laws. Preapproved absences that are extended by Regulation 724-1 STUDENTS September 26, 2018, Page 4 the student/parent/guardian beyond 15 school days will result in the withdrawal of the student from school in accordance with Virginia Department of Education regulation. In order for any preapproved absences to be classified as excused, the principal will consider the following:

  1. The principal/designee must be notified in writing of the request for preapproval, of the reason for the absence, and the duration of the absence within a reasonable time prior to the absence;
  2. Grades; and
  3. Attendance records. Due to the varied demands on teachers for make-up work, teachers shall have discretion to determine the type/amount of work and when students shall make up work for preapproved absences.
